Privacy Policy
Effective 2 November 2026
The short version
- Your mail stays between you and Microsoft. The app reads and sends it directly through Microsoft, and we don't keep copies of your mail on our servers.
- Smart features such as the smart classifier and Mail Hub run on your device.
- New-mail notifications need a small server. It holds what it needs to watch your mailbox and nothing more, and forgets the sender and subject of each message within a day.
- We never sell your data. The free version shows ads from Google, and you choose whether they may be personalised.

Who we are
MailBuzzr is made by Aversys Mobile (“we”, “us”). This policy covers the MailBuzzr apps, including MailBuzzr for Outlook, MailBuzzr HD and MailBuzzr Pro, the notification service that supports them, and this website. We are the controller of the data described here, except your mailbox itself, which Microsoft holds under its own privacy statement.
MailBuzzr is not affiliated with or endorsed by Microsoft or Apple.
Your mail, contacts and account
When you add an Outlook, Hotmail or Live account, you sign in on Microsoft's own page and grant MailBuzzr permission to read, organise and send mail, read your contacts and see your basic profile. We never see your password.
- Mail and contacts are fetched straight from Microsoft to your device and cached there so the app works quickly and offline. The cache lives in the app's storage on your device and is deleted when you remove the account or delete the app.
- Sign-in tokens are kept in your device's Keychain.
- Actions you take, such as sending, archiving, flagging, moving or deleting mail, or running a routine, are sent directly to Microsoft.
- Unsubscribe uses the unsubscribe link or address the sender put in the message. When you tap it, the app opens that link or sends that request on your behalf.
The notification service
Apple and Google only let a server wake your phone, so new-mail alerts, smart alerts and repeat alerts come from our notification service. To do that it holds:
- Your installation: a random device ID, the push tokens Apple or Google issued for it, the app and system version, device model, time zone and your notification settings (sound, previews, quiet hours).
- Each account you turn notifications on for: its email address and a Microsoft refresh token, encrypted at rest, so the service can ask Microsoft to tell it when new mail arrives.
- Your smart alert rules, such as “from my manager” or “subject contains invoice”.
When Microsoft reports a new message, the service looks at its sender, subject, preview and, only if one of your rules checks the body, its text, to decide whether and how to notify you. It doesn't store your mail. The sender and subject travel only inside short-lived processing jobs, which are deleted within one day. Message bodies are never stored or put in a notification. Service logs record the account’s email address and message ID, without any content, for 7 days so we can fix delivery problems. If you allow previews, the notification shows the sender and subject; Apple or Google delivers it to your device.
Remove an account, or turn off its notifications, and the service stops watching it and deletes its token and settings on the next sync.
On-device intelligence
The smart classifier, Mail Hub (travel, packages, bills and receipts, subscriptions) and other smart features run on your iPhone or iPad. On supported devices they use Apple Intelligence on the device. You can also download an optional model to run them. Models are downloaded from a public model host such as Hugging Face; the download sends only an ordinary web request for the file, never your mail. Your mail is never sent to us or to any AI provider to power these features.
Other information we collect
| What | Why | Linked to you? |
|---|---|---|
| App usage events, such as screens opened, features used, purchases started or failed sign-ins, plus device type, OS and app version and approximate region | To understand which features people use and to fix problems | Linked to a random app-instance ID, not to your email address or mail |
| App integrity checks (Firebase App Check) | To make sure requests to our service come from the real app | No |
| Remote settings (Firebase Remote Config) | To turn features on or off without an app update | No |
| Purchase and subscription status | To unlock what you paid for and restore it on your other devices | Held by Apple with your Apple Account and read by the app on your device. We see only your plan type, in the usage events above, and never your payment details |
| Advertising data in the free version (see below) | To show and measure ads | Only if you allow it |
| Messages you send to support | To help you | Yes, to the email address you write from |
None of these include the content of your mail or your contacts.
Ads in the free version
The free version shows ads from Google AdMob; subscribers don't see ads. Before ads load, we ask for your consent where the law requires it (using Google's consent form) and iOS asks whether the app may track you. If you decline either, Google shows only non-personalised ads, which still use some device information to work, limit how often you see an ad and prevent fraud. You can change the tracking choice at any time in iOS Settings › Privacy & Security › Tracking, or ask us to reset your consent. Google's use of data is described in its partner sites policy.
Sender pictures
To show a picture next to a message, the app first looks in your Outlook contacts and your iPhone contacts (if you allow it). For companies, it may fetch the public icon from the sender's website, for example example.com/apple-touch-icon.png. That website sees an ordinary request from your device's IP address, as if you visited it, but nothing about you or your mail. Pictures are cached on your device.
Emails from us
By using MailBuzzr, you agree that we may use the email address of the accounts you add to send you occasional emails about MailBuzzr, such as new versions and features, important changes to the app, and updates to this policy or our terms. To do this, we keep the email address of each account you add, together with your app and language, on our servers, separately from the notification service. We don't send emails on behalf of others or share your address with advertisers. Every email has an unsubscribe link, or you can write to us to stop them. We may still send essential notices, for example about security or your account, where the law allows.
This website
This website doesn't use cookies or analytics. It remembers your light or dark choice in your browser only. App Store links carry a campaign name so Apple can tell us, in aggregate, how many downloads came from the site.
Who we share data with
We don't sell or rent personal data, and we don't share it for others' marketing. We use these service providers, each only for the purpose listed:
- Microsoft: your mail service. All mail actions go to Microsoft.
- Apple: App Store purchases, push notifications and, where available, Apple Intelligence.
- Google (Firebase): analytics, push delivery (Firebase Cloud Messaging), App Check and Remote Config.
- Google (AdMob): ads in the free version.
- Our email delivery provider: sends emails about MailBuzzr updates.
- Our hosting provider: runs the notification service.
We may also disclose information if required by law, or to protect the safety of our users or our service, and to a successor if MailBuzzr is sold or merged, under this policy.
Permissions you can grant
- Notifications: to alert you about new mail.
- Contacts: to show your iPhone contacts and their pictures and to save contacts. Stays on your device.
- Calendar: to add a flight, booking or event from an email. Only what you choose to add is written; nothing is read back or uploaded.
- Photos: to attach pictures to an email or set a picture. Only what you pick is used.
- Face ID or Touch ID: to lock the app. Handled by iOS; we never receive biometric data.
- Tracking: whether ads may be personalised, as described above.
You can change any of these in iOS Settings at any time.
How long we keep data
- Mail and contacts cached on your device: until you remove the account or delete the app.
- Notification service: account tokens and settings until you remove the account or turn off its notifications; sender and subject of new mail for at most one day. Service logs (email address and message ID, no content): 7 days. Installations that stop syncing and whose push tokens are rejected are removed automatically.
- Analytics: no more than 14 months, then deleted by Google.
- Support emails: as long as needed to help you, and no longer than two years.
- Email address for update emails: until you unsubscribe or ask us to delete it.
Security
Data travels over encrypted connections (HTTPS/TLS). Sign-in tokens are kept in the iOS Keychain on your device, and encrypted at rest on our server. Requests to our service must come from a verified copy of the app. No system is perfectly secure, but we limit what we hold so there is less to protect.
Your choices and rights
- Stop all server-side processing: turn off notifications for an account, or remove the account. Removing every account deletes your installation's data from the notification service.
- Delete everything on your device: remove your accounts or delete the app.
- Revoke MailBuzzr's access to your Microsoft account at account.live.com/consent/Manage (personal accounts) or through your organisation's administrator.
- Ads: turn off tracking in iOS Settings, or subscribe to remove ads.
- Emails from us: use the unsubscribe link in any email, or write to us.
Depending on where you live (for example under the GDPR, UK GDPR, California law or Singapore's PDPA), you may have the right to access, correct, delete or receive a copy of your personal data, to object to or restrict its use, and to withdraw consent. Email us and we'll respond within 30 days. Because we don't link most data to your name or email address, we may need details from you (such as the email account you use in the app) to find it. You may also complain to your local data protection authority.
Where the GDPR applies, we rely on: performing our contract with you (mail and notifications), our legitimate interests (security, analytics, improving the app and telling you about updates to it), and your consent (personalised ads, and optional permissions).
International transfers
Our service providers may process data in countries other than yours, including the United States. Where required, transfers rely on safeguards such as the European Commission's Standard Contractual Clauses.
Children
MailBuzzr is not directed at children under 13 (or under 16 where local law requires), and we don't knowingly collect their data. If you think a child has given us data, contact us and we'll delete it.
Changes to this policy
If we change this policy, we'll update the date above and, for significant changes, tell you in the app before they take effect.
Contact
Questions or requests: [email protected], or use Settings › Contact Support in the app.
